Vendors
Vendors play an essential role in many special events, providing food, beverages, merchandise, and other services. Event organizers must ensure that vendors comply with Tacoma’s regulations to promote safety, health, and fairness for all participants.
Food vendors

Vendors serving food must have a TEMPORARY FOOD ESTABLISHMENT PERMIT issued by the Tacoma-Pierce County Health Department.
Organizers must verify that all food vendors meet health and safety standards, including proper storage, preparation, and waste disposal.

Food vendors using open flames or cooking equipment must obtain a FIRE OCCUPATIONAL/OPEN FLAME PERMIT from the Tacoma Fire Department.

Food vendors must comply with Tacoma’s environmental policies by using recyclable or compostable service ware. The use of plastic bags and Styrofoam is prohibited.
Merchandise Vendors

Vendors selling merchandise are responsible for collecting and remitting Washington State Sales Tax. Event organizers should communicate this obligation to all vendors.

Certain items, such as counterfeit goods or unapproved merchandise, are prohibited. Organizers must ensure that vendors adhere to these restrictions.
Vendor Placement and Operations

Include vendor booth locations in the event’s site map. Ensure that booths are spaced appropriately to prevent congestion and maintain emergency access.

Provide vendors with access to necessary utilities, such as electricity or water. Include these details in the vendor agreement.

Require vendors to manage their waste responsibly by providing trash and recycling receptacles at their booths.
Vendor Licensing Requirements

Event organizers should establish written agreements with vendors outlining expectations for licensing, compliance, setup, and cleanup.

Vendors must provide proof of insurance as required by the event’s permit conditions. Coverage should include general liability and any additional risks specific to the vendor’s operation.
Compliance and Enforcement

Vendors may be subject to inspections by the Tacoma-Pierce County Health Department, the Tacoma Fire Department, or the City of Tacoma during the event.

Vendors found in violation of licensing, health, or safety regulations may be removed from the event. Organizers are responsible for addressing compliance issues promptly.

All vendors participating in an event must obtain a Tacoma Business License unless they are covered under the event organizer’s Temporary Event- Multiple Vendor License.

Event organizers can streamline licensing for vendors by applying for a Temporary Event License, which covers all vendors at the event.
This license costs $5 per vendor per day and must be submitted 10-15 business days before the event.
